What to expect from this international youth exchange in Sardinia

Here you will find the activities we are planning. It may be subject to changes and variations, in any case we will present it to you once you arrive!

IMPORTANT!!! Some information about the activities

TED TALKS: As you will see there will be a TED Talks (for those who don’t know) on the topic of “How to survive the climate crisis?”.
It will be a space open to your contribution, a space for your voice to be heard, it will be an activity closed to the group of participants themselves and of course without the presumption and expectation of big pompous speeches. It will be a time for each of you to take the floor and share how you feel about the issue, it could be a testimony of what you have observed first hand, about environmental catastrophes, social inequalities and what follows, or you could share your worries and fears for the future, you could talk about eco-anxiety, or if you are part of a some organisation working in the field, you could bring your experience and motivate others to take action.

The aim is to share with others, to bring different points of view, what is happening in different parts of Europe or the world, and perhaps discover that our fears are the same as others’ and that together we can take action for change.
That is why we are anticipating it now, so that you can start thinking about it. It will be a beautiful moment of sharing and growth, and we hope you like the idea and that you will contribute in large numbers.

PARTICIPANT SPACE: Each afternoon there will be a participant space, here you will be free to propose your own workshop to share and teach something you are good at, it could be taking photos or how to edit them, how to shoot videos, how to draw, how to play the guitar, how to crochet, anything you want to share will be a valuable contribution and enrichment for the whole group. So bring along any specific material or tools you might need, or if too bulky, write to us to see if we can provide them, of course let us know asap.

INTERCULTURAL NIGHT: for the intercultural night, where you will introduce the other participants to the peculiarities of your country, we leave you with a few pointers:
- there will be two evenings in which 2 countries will present themselves, try as much as possible to propose fun and interactive activities and to calibrate the time (about one hour);
- food, it will not be possible to prepare or cook, so please bring simple things and above all do not exaggerate with the quantities, the dinners will be abundant, we would like to avoid wasting food;
- have fun and be creative, we are very curious to see what you come up with;
- if you need anything please let us know as soon as possible.

PC: activities will be outdoor and hands-on as much as possible, but there may be a need to use computers for research, it is not mandatory, but if you can bring at least one computer or tablet per national group it would be nice and super useful!

Logistic and Accomodation

  • FOOD: Meals (breakfast, coffee breaks, lunch and dinner) will be organised and managed by the catering company owned by Selina, a local woman entrepreneur, and her staff. Food quality and respect for everyone’s needs will be guaranteed (if you have any and have not communicated it, now is the time). Tap water is drinkable.
  • SLEEPING: you will be accommodated in two facilities, “Casa Onnis” and “Domu e forru” in shared rooms and shared bathrooms. Sheets, blankets and towels will be provided by us. But remember to bring your own mould, shower gel, toothpaste.
    Important! Regarding hairdryers, we will try to provide at least 1, but if you need one, please try to arrange to bring at least 1 per group.

There will be 4G internet connections available for participants.

The facilities, provided by the municipality of Collinas, is equipped with a kitchen, a large dining and activity room, and a fantastic outdoor garden for outdoor activities.

What temperature to expect

Being in spring, we can go from hot (even 28°-30°) to cooler 15°. Apparently it will be quite cool-cold, around 12 degrees, but spring is crazy, so by the end of the week summer temperatures (25–28 degrees) could also arrive, so bringing varied clothing is best.

Well-being and health care

All the participants should bring their european health card. You can use the free european health insurance card (ehic) to allow you access to public hospital treatment.

Please be aware that the ehic is not a travel insurance policy, it will not cover private health care, non-emergency health costs, or being flown back to your home country.
Participants who cannot have the european health insurance card should have an insurance valid for the whole duration of the project.

We highly recommend you to make a health & travel insurance for the full duration of your time in Italy. If you have to isolate and make quarantine we cannot cover the cost for it.

If you need to take regular medications, please arrange it by yourself as we are unable to provide them for you. There is a pharmacy in the village, but in many cases they won’t sell you anything without a medical prescription.

Likewise, if you have any health conditions, psychological issues, disabilities or mobility issues that you feel we need to be aware of or that may affect your participation in the activities, then please let us know what they are and how we could assist you :)

Financial Aspects and Reimbursements

Financial support will be provided by the Italian National Agency, through the Erasmus+ programme, with the following conditions:

  • Travel costs will only be reimbursed through the cheapest and most direct transportation options possible, and only on the condition that the participant will take part in the whole project, up to a certain amount according to the rules provided by the Erasmus+ programme.
  • Only tickets confirmed by the host organisers will be reimbursed.
  • Board and lodging costs will be covered 100% by the Erasmus+ programme.

The transfer from the airport or port of arrival in Sardinia to Collinas, if requested in time and agreed upon, can be managed and guaranteed by the organisers. The cost will be deducted from the participants’ total reimbursement.

The maximum reimbursement per participant is:

  • Portugal: 275.00 €/participant
  • Spain 275.00 €/participant
  • Slovenia: 275.00€/participant
  • Czech Republic: 275.00€/participant
  • Italy: €0.00/participant

Condition reimbursement

23rd April — ARRIVAL (in the afternoon, first meal dinner)
24/04/2024 -1/05/2024–8 programme days of activities
2nd May — DEPARTURE (in the morning)

Travel costs are refundable for participants who attend all the sessions, commit themselves fully to the activities and provide all original tickets, invoices, boarding passes, emails and bank confirmations related to their travel. The participants should participate also in the dissemination phase :)

Travel expenses will be reimbursed in euros, after delivery of all necessary documents and receipts, and exclusively by bank transfer. All tickets purchased in other currencies will be converted and calculated using the exchange rate of the month, provided by the European Commission (https://goo.gl/HinFm6).

Only the cheapest tickets will be reimbursed. Only 1 piece of checked-in baggage of maximum 15–23 kg will be covered. Only tickets purchased online will be reimbursed. We can’t cover travel agencies’ fees.

We can’t reimburse taxi or private cars, only public transport will be covered. Eurowings, Ryanair, Wizzair tickets should be purchased only on the websites of the airlines. Tickets purchased via KIWI website won’t be reimbursed.

You can arrive 1 day before the activity and depart 1 day after if you want to spend more time in Italy on your own. All costs for board and lodging for the one day before and after the start and end dates of the project will be covered by the participants.

PRINT your flight tickets and invoices and provide them at the youth exchange. Online Check-in (per email in PDF) is highly recommended.

Necessary documents for reimbursements

International travel expenses can be reimbursed ONLY upon presentation of ALL ORIGINAL DOCUMENTS stating your travel data and costs, namely:

1. Boarding passes (For round trip);
2. Tickets for plane/bus/train (also e-tickets);
3. Invoices;
4. Payment checks.

Participants are requested to bring with them all mentioned documents, likewise, any other payment bills, checks, tickets, and payment proof that you will get during your travel. Regarding way-back tickets and boarding passes, should be sent by post office.

How to arrive in Sardinia

You can get to Sardinia in two ways, by ferry and by plane. Keep in mind that the closest airport to Collinas, as well as the largest and most connected airport on the island, is Cagliari.

If you have special needs when booking your trip, please contact us first and we will work out together how to find a solution within the limits of our possibilities.

BY FERRY, you can choose between 3 ports:

An important detail is that you should buy your tickets after our confirmation. Otherwise, your tickets could be considered not reimbursable. We engage ourselves to reimburse only tickets which were confirmed by our team.

Last recap: WHAT TO BRING:

  • shampoo, shower gel, toothpaste (you could also buy them locally and share them);
  • hairdryer if needed
  • swimming suit;
  • health card;
  • medicines for any eventuality especially if you take them regularly;
  • comfortable trainers and comfortable clothes (just a simple walk in the countryside is planned, no need hiking shoes);
  • MUG to give away (it is important that each participant has one);
  • personal water bottle to avoid plastic bottles;
  • games, guitar or whatever entertainment to enjoy free time;
  • PC or tablet (recommended) — 1 per national group would be great!
